Why the second visit costs most, and what decides whether the first one is enough.
QUICK ANSWER. First-time fix rate is the share of service visits that resolve the fault on the first attempt, with no return trip needed. It is a standard field service measure. In coffee service it is one of the clearest indicators of whether an operator has the information it needs before dispatching.
What is first-time fix rate?
The calculation is simple. Divide the number of jobs closed on the first visit by the total number of jobs, over a period. The interpretation is where it gets useful.
A low rate rarely means technicians are poor at their work. It usually means they arrived without knowing what was wrong. The diagnosis happened on site, at the customer’s premises, with the van already parked outside.
How do operators improve it?
The number moves when the decision improves, not when the technician tries harder:
- Knowing the fault before travelling. An error code read remotely narrows the job before anyone leaves.
- Carrying the right part. Fault history per machine model predicts what will be needed.
- Matching the technician to the machine. Mixed fleets mean different competencies per brand.
- Knowing the machine’s history. A machine that failed twice this quarter is a different job from a first-time fault.
Each of these is an information problem. None of them is solved by scheduling software alone.
Why the second visit costs most
Because the first visit already consumed the travel, the labour and the customer’s patience. The second one adds all three again, and this time against a customer who has watched the machine stay broken.
There is also an avoidable layer beneath this. Public figures from connected fleets indicate that more than 25% of downtime can be resolved without a technician when the fault is visible remotely. Those jobs never needed a first-time fix, because they never needed a visit.
Europe’s installed base is roughly 4.5 million machines, according to the European Vending & Coffee Service Association. A few percentage points of repeat visits across a fleet of that size is a substantial cost.
